1. Acceptance of Terms
By accessing or using estimatehub.com, you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, do not use the Service.
2. Description of Service
EstimateHub provides a PDF to ESX document-processing service that:
- Accepts user-uploaded PDF documents
- Scans and replicates line items and related data
- Outputs replicated content inside EstimateHub software
EstimateHub PDF to ESX converter tool does NOT:
- Create estimates
- Generate pricing
- Provide recommendations
- Analyze damage, photos, or conditions
- Act as an accounting, construction, or financial service
All content originates entirely from the user-provided PDF.
EstimateHub also offers the following add-on services, separate from the PDF to ESX converter:
- Manual sketch creation- Sketch creation performed by an in-house estimator, available at additional cost. The sketch is delivered as its own ESX file, independent from the PDF-to-ESX line-item conversion. Combining or merging separate ESX files (e.g., a line-item file and a sketch file) into a single working file is the user's responsibility, using Xactimate's native import/merge functionality.
- Full Rebuild or Supplemental Estimates — Created by an in-house estimator based on photos, scope, and direction provided by the requesting party. Pricing is determined on a case-by-case basis following review of the submitted materials.
3. User Responsibility & Disclaimer
You acknowledge and agree that:
- You are solely responsible for the content of uploaded documents
- All estimates, line items, and data are user-created
- EstimateHub only processes and duplicates provided information
EstimateHub makes no guarantees regarding:
- Accuracy
- Completeness
- Suitability for construction, insurance, or financial decisions
4. No Professional Advice
The Service does not provide legal, financial, construction, insurance, or professional advice. You should independently verify all information before use.
5. Accounts
To use certain features, you must create an account. You agree to:
- Provide accurate information
- Maintain the security of your account
- Be responsible for all activity under your account
6. Payments, Trials & Refunds
- Payments are processed via Stripe
- Users may choose one-time or subscription billing
- Free trials and first conversions may be offered
* Refund Policy *
Refunds may be issued only if:
- The the Xactimate PDF to ESX conversion fails to replicate at least 95% of line items, as determined by EstimateHub.
- The Cotality/Symbility PDF to ESX conversion fails to replicate at least 95% of line items, as determined by EstimateHub.
Refund eligibility is evaluated on a case-by-case basis.
* Document Quality Requirements *
Uploaded PDFs must be machine-readable, text-based Xactimate (or supported) estimate PDFs. EstimateHub does not guarantee conversion accuracy for scanned images, photographed documents, password-protected files, handwritten content, corrupted files, or PDFs with non-standard formatting. Conversion failures or accuracy shortfalls caused by illegible, incomplete, or improperly formatted source documents do not qualify for the 95% refund guarantee. EstimateHub may, at its discretion, reject files that cannot be reliably processed.
* Add-On Services*
Manual sketch creation, full rebuild estimates, supplemental estimates, and any other add-on services are billed separately from the base PDF to ESX conversion and are non-refundable once delivered, except where a delivered sketch fails to reasonably represent the sketch contained in the source PDF, as determined by EstimateHub. Add-on deliverables are provided as standalone ESX files; EstimateHub does not guarantee or provide a pre-merged file combining multiple ESX outputs.
7. User Content & Ownership
- Users retain full ownership of uploaded documents
- By uploading content, you grant EstimateHub a limited, non-exclusive license to process, store, and replicate the content solely to provide the Service
- Uploaded content is private and not shared with other users
8. Acceptable Use
You agree not to:
- Upload unlawful, harmful, or infringing content
- Attempt to access other users’ data
- Reverse engineer or abuse the platform
- Use the Service for illegal purposes
9. Account Suspension & Termination
EstimateHub reserves the right to:
- Suspend or terminate accounts
- Remove content
- Restrict access
If users violate these Terms or misuse the Service.
10. Intellectual Property
All software, branding, templates, and platform functionality belong to EstimateHub. Users may not copy or resell the Service.
11. Limitation of Liability
To the maximum extent permitted by law:
- EstimateHub is not liable for indirect, incidental, or consequential damages
- Total liability shall not exceed the amount paid by the user in the prior 12 months
12. Indemnification
You agree to indemnify and hold harmless EstimateHub from claims arising out of:
- Your uploaded content
- Your use of the Service
- Your violation of these Terms
13. Governing Law
These Terms are governed by the laws of the State of California, without regard to conflict of law principles.
14. Changes to Terms
We may update these Terms at any time. Continued use of the Service constitutes acceptance of changes.
15. Communications
Text Messaging:
- By opting in, you will receive notifications from EstimateHub including software updates and new feature announcements.
- You can cancel the SMS service at any time. Just text "STOP" to the phone number. After you send the SMS message "STOP" to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.
- If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at service@estimatehub.com.
- Carriers are not liable for delayed or undelivered messages.
- Message and data rates may apply for any messages sent to you from us and to us from you. You will receive no more than 1 notification per month. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.
